All cancellations must be delivered via email to travel@worldplayground.co.
GROUP ADVENTURES
Cancellation exceeding 180 days before the commencement of the adventure will lead to the retention of your existing payments as a credit applicable to a future adventure booked through us, whether it pertains to Group or Personal Travel, relieving you of any obligation to settle the remaining adventure cost.
Cancellation within 180 days of an adventure commencement will result in the forfeiture of payments made to date, absolving you of any responsibility for the remaining adventure cost.
PERSONAL TRAVEL
Our cancellation policy for Personal Travel bookings adheres to the terms and conditions established by the service provider. Consequently, any cancellations or modifications to your booking will be governed by the specific policies of the service provider.
• Arrival delays or early departure during any trip will not result in a refund, and no reimbursements will be provided for any unused portions of a trip.
• We strongly recommend acquiring travel insurance for every trip.
• For a more detailed explanation of our Cancellation Policy, please visit the Booking Conditions segment.
If I book the double occupancy option as a solo traveler, who will my roommate will be?
Once a Group Adventure is fully booked, roommates will be assigned. Using a careful screening process, we will thoughtfully pair you with a roommate of the same sex and relative age, providing you with notification about your assigned roommate. This information will be posted on our adventure itinerary, and you will have access to it. We encourage you to acquaint yourself with your roommate via our Member Circle platform before the adventure. Alternatively, you can request to share a room with another Member participating in the adventure by emailing us.
How is the difficulty rating determined?
The rating system pertains to the physical demands of an adventure. A rating of one indicates the least difficulty, while a rating of five represents the most challenging. Ratings are assigned based on the perceived level of physical exertion required to complete all activities and experiences during the adventure.
Booking Conditions
Booking Agreement
Our reservations are customized to meet your preferences, and therefore, they are subject to availability. Before confirming a reservation, you will receive an email with your itinerary and the complete details of your proposed trip. Once you confirm the proposal, we will proceed to process the payment and issue a booking confirmation. Please verify that all names match those on the relevant passport, and ensure that dates, timings, and other trip details are accurate. Failure to do so, along with an unreasonable delay in reporting any discrepancies in the confirmed arrangements, will make you liable for any additional charges resulting from necessary alterations to the booking.
A legally binding agreement between us and you (the primary person on the booking) is established only when we issue a booking confirmation after receiving your payment in cleared funds, whether it’s the required deposit or the full holiday price (depending on the booking date relative to the intended departure date). By making the booking, you acknowledge that you have the authority to bind all members of your party to these booking terms and conditions. As the lead name on the booking, you assume responsibility for payment and receipt of documentation on behalf of your party.
Cost & Payment
We retain the right to modify the prices of any trips displayed on our website or outlined in our written proposal to you before confirming your booking. You will be informed of the current price before finalizing your booking. The prices quoted are in US dollars ($) and are based on the daily currency exchange rates prevailing at the time of the quotation.
The cost of your experience includes taxes and, where applicable, all additional fees, charges, and other expenses. If there are any costs that cannot be reasonably determined in advance of concluding the contract, we will provide an estimate at the time of booking regarding potential additional expenses you may need to cover.
Please be aware that all debit or credit card payments will be processed in US dollars. If your payment card is not in USD, the final price will be calculated based on the applicable exchange rate on the day your card issuer processes the transaction.
Payments are structured into three stages for both Group and Personal Travel adventures.
Payment #1: Secure your spot on an adventure with a non-refundable 50% deposit.
Payment #2: As outlined during the booking process, you will receive an invoice for 25% of the trip cost on the designated date.
Payment #3: As outlined during the booking process, you will receive an invoice for the final 25% of the trip cost on the designated date.
A deposit is required to make a booking, and the deposit amount varies based on the nature of your trip. This amount will be confirmed before you confirm your booking. If your booking involves flights with airlines requiring full payment in advance, the full flight price will be included in the booking deposit and will be charged in case of cancellation. The balance payment is due 180 days before the intended departure date. If the booking is made less than 180 days before departure, the full trip price is payable upon booking. Your booking confirmation will specify the balance payment due date. Failure to settle any outstanding balance within 180 days of the intended departure may result in non-issuance of travel documentation, treating your booking as canceled, with applicable cancellation charges outlined in the Amendments, Transfers and Cancellations By You section.
Payments must be made in US Dollars ($) and any bank charges incurred are your responsibility. We accept various payment methods, including credit cards, debit cards, online payment gateways, ACH transfers, and both domestic and international bank wires. Booking confirmation is contingent on our receipt of cleared funds.
Insurance
We strongly recommend that you secure a comprehensive travel insurance policy to cover you before, during, and after your journey. We disclaim any responsibility for costs incurred by you or any member of your party resulting from inadequate or inappropriate travel insurance. If you wish to secure travel insurance, we can provide you with a range of Allianz or Travelex Travel Insurance plans for you to purchase, each thoughtfully designed to offer distinct benefits and limits tailored to diverse travel needs.
Please email us for Travel and/or Medical Insurance assistance.
Engaging in Hazardous Activities: Your trip may involve activities considered hazardous by insurers, such as skiing, water sports, horse riding, mountain biking, and climbing. It is your responsibility to verify with your insurer and ensure coverage for all activities listed in your itinerary. This includes paying an additional premium for hazardous activities if required by your insurer. World Playground will not be held liable for any personal injury or death arising from such activities unless caused intentionally or negligently by us (refer to Our Liability To You).
Passports, Visas & Health Requirements
We will provide general information regarding passport, visa, and health formalities for US citizens visiting the destinations in your trip. This includes approximate periods for obtaining visas. Please note that most countries require passports to be valid for at least 6 months after your return. Ultimately, it is your responsibility to ensure possession of all necessary travel documents/visas and compliance with health formalities.
Trips and Activities Suitability: Not all trips and activities may be suitable for individuals with disabilities, reduced mobility, or medical conditions. If you or any party member has such considerations, inform us before booking so we can ensure a safe and suitable travel experience. All health and mobility information will be used solely for advising on your booking and sharing with travel experience suppliers as per our Privacy Policy.
Age Restrictions: Some trips or activities may have minimum or maximum age restrictions for safety and insurance reasons. If applicable, we may request the ages of your party to confirm appropriateness.

Amendments & Cancellations By Us
Amendments Before Departure: We may find it necessary to modify your proposed trip at any time, and we will inform you of any changes affecting your booking before issuing the confirmation. In some instances, adjustments may be required after the booking is confirmed, and we retain the right to make minor changes, provided we notify you.
If, before the package’s start, circumstances beyond our control compel us to significantly alter any main characteristics of the specified travel services or fail to fulfill accepted special requirements in your confirmation, we will promptly notify you. Within a specified period, you can choose to: (i) accept the proposed changes; or (ii) terminate the contract without incurring a cancellation charge.
Opting for contract termination allows you to accept a substitute package if available. If changes result in a lower-quality or lower-cost package, you are entitled to an appropriate price reduction. If the contract is terminated without opting for a substitute package, you are entitled to a full refund within 30 days.
Cancellation By Us: While we hope to avoid canceling your trip, unforeseen circumstances may necessitate it, and we reserve the right to do so. We will strive to offer alternative arrangements of equal or superior quality. In cases where only lower-quality alternatives are available, we will provide an appropriate price reduction. If no alternative is feasible, a prompt and full refund of the trip’s price will be issued. Additionally, we will be liable to pay appropriate compensation defined in Our Liability To You, unless:
- Unavoidable and Extraordinary Circumstances prevent contract fulfillment, and we notify you promptly before the package’s start; or
- The minimum number of enrolled persons for the package is below the contracted minimum

Travel Delays:You might have the right to seek compensation from your airline in cases of delays, cancellations, or overbooking.
Travel Information
Flights
Ensure all travel, passport, visa, and insurance documents are in order, and arrive well before airport check-in. Reconfirmation of your flight with the airline may be necessary before departure, and you should request this information from us at least 72 hours before your outbound flight. Failure to reconfirm may result in denied boarding and unlikely refunds.
Please email us for flight booking assistance.
Excursions & Activities
Prepaid excursions and/or activities detailed on the adventure pages are part of your package contract. We exercise reasonable skill and care in selecting suppliers for these services.
Excursions and/or activities purchased independently from a local supplier or third party after your trip begins are not part of our contract. Contracts for such services are made with the relevant supplier or third party under their terms and conditions, and we bear no liability for their performance.
Documentation
Two weeks prior to your departure date, you will receive an email from us with a link to your full adventure itinerary, complete with comprehensive details about your trip. This itinerary can be downloaded via the Trip Plans app (available for both iOS and Android). Please be advised that once this itinerary is dispatched, we cannot be held accountable for any loss unless it arises from our negligence. In the event of ticket or document reissuance, all associated costs will be your responsibility.
Assistance
Regardless of our liability for compensation, we will provide you with appropriate assistance promptly if you encounter difficulties. This includes offering information on health services, local authorities, consular assistance, assisting with distance communications, and helping with alternative travel arrangements. A reasonable fee may be charged for such assistance if difficulties result from intentional actions or negligence on your part.
Special Requests
While we strive to meet special requests, such as specific airline seating, dietary requirements, or room preferences, compliance is not guaranteed, and we are not liable for losses resulting from non-compliance.
Liability
Performance Of Package
We are responsible for the performance of travel services in the package contract, whether provided by us or other travel service providers (see Our Liability To You).
If you notice any lack of conformity during the package’s performance after departure, inform us promptly. We will remedy the lack of conformity within a reasonable period, unless it is impossible or involves disproportionate costs. Failure to remedy allows you an appropriate price reduction and compensation for damages as per Our Liability To You.
If a significant portion of your trip cannot be provided, we will offer suitable alternative arrangements of equivalent or higher quality at no extra cost. Lower-quality alternatives result in a price reduction. You may reject proposed alternatives if they do not compare to the agreed package or if the price reduction is inadequate.
If a lack of conformity significantly affects the package’s performance, and we fail to remedy it within your specified reasonable period, you may terminate the contract without a cancellation fee. Compensation and price reduction requests can be made according to Our Liability To You.
If alternative arrangements are not feasible, and you reject proposed alternatives under specific conditions, you are entitled to a price reduction or compensation for damages, or both, as outlined in Assistance, without terminating the travel contract.
Our Liability To You
We are accountable for the execution of travel services outlined in your package travel contract, using reasonable skill and care to provide the services or facilities included in your booking. Compensation will be provided if there is a failure to perform or improper execution of your package travel contract, defined as a “lack of conformity” under the Package Travel Regulations.
You have the right to an appropriate price reduction for any period with a lack of conformity, unless we demonstrate that the lack of conformity is attributable to you, to an unrelated third party providing travel services in the package contract and is unforeseeable or unavoidable, or due to Unavoidable and Extraordinary Circumstances.
Except in cases involving death, illness, or injury, intentional or negligent damage, situations where liability cannot be limited by law, or instances subject to international conventions, our liability for compensation is limited to a maximum of two times the total package price (excluding amendment charges). We bear no liability for business or profit loss or any other indirect loss or damage.
Our liability to you (and your party) is also restricted as per the applicable international conventions, treating us as a carrier under those conventions. These conventions limit passenger claims for death, injury, illness, and loss, damage, delay in luggage transportation, and personal belongings. The terms of these conventions are expressly incorporated into your contract, with copies available upon request. The relevant conventions include:
a) The Montreal Convention for air travel;
b) The Berne Convention for rail travel;
c) The Athens Convention for sea travel.
All forms of transportation (land, air, and sea) are subject to the terms and conditions of the actual carrier, which may limit or exclude liability. These terms are expressly incorporated into your contract, and copies are available upon request. Our liability will not exceed that of any carrier.
Hotels and other tourist services arranged by us with local suppliers may involve lower standards in hygiene, accommodation, and transport than those in the USA. While we strive to appoint reputable suppliers, the terms and conditions of hotels and providers apply and are expressly incorporated into the contract. These terms may limit or exclude liability based on local standards.
Complaints
Report any lack of conformity during your trip immediately to our representatives or the relevant supplier. If not resolved locally, contact us for resolution and necessary alternative arrangements. If issues persist upon your return, email us at travel@worldplayground.co within 14 days of return. Failure to follow this procedure may affect your rights under this contract.
